In the past, I've arranged it so this character could get his hands on a datacron and some books that contain information about the techniques of the Shapers. Do I need to sub them, or not?

Do you need to sub Datacrons or books?

The Factory and Codex are entirely optional. If you want to have a datacron or flimsi book containing this that or whatever you can do it, but it should be something that your character develops and trains in over time. If you run a duel and suddenly start throwing fire at them and they ask where you learned that and you say "I picked up a fire shaping book offscreen" you're liable to get reported. The Factory and holocrons/datacrons/books serve as a good way to "legitimize" what you're doing and how you're doing. Ultimately though it comes down to how you treat other writers and how other writers respect you. If they respect you and how you're writing you'll never have any problems, factory or not, but if you run into trouble a factory approval is a nice thing to have.
